WhatsApp chatbot for clinics

A WhatsApp chatbot for clinics that hands medical questions to your staff.

Patients message your clinic at all hours about fees, OPD timings, location and whether you offer a treatment. WapTalk answers those from your own service list, and sends anything about symptoms, medicines or a diagnosis straight to your reception team.

What the chatbot answers, and what always goes to a person

The assistant answers only from documents you upload. The hand-over rules for refunds, complaints and sensitive topics run in code before the AI is asked, so a customer cannot talk it past them.

Questions it answers

  • How much does a consultation or teeth cleaning cost?
  • What are your OPD timings on Sunday?
  • Where exactly are you, and is there parking?
  • Do you do root canals, braces or physiotherapy?
  • Do you accept my health insurance?
  • What should I bring to my first visit?

Goes to your team

  • Symptoms, medicines, dosage or a diagnosis - medical questions always go to a person
  • Refund requests and billing complaints
  • An upset patient, flagged from the tone of the message
  • Anything your documents do not cover

What to upload

  • Service and fee list
  • Doctor schedule and OPD timings
  • Address, parking and directions
  • Insurance, payment and cancellation policy
  • Pre-visit instructions (fasting, documents to bring)

How clinics use WapTalk

Fee questions answered at 10 pm

The most common message a clinic gets is “how much is it?”. The assistant answers with the exact figure from your fee list, then offers buttons such as Request a slot or Talk to reception.

Slot requests land with reception

A flow tags the chat appointment-request and assigns it to your front desk, who confirm the time in the same thread. WapTalk does not book into a calendar, so your team stays in charge of the schedule.

Recall and closure notices (Growth plan)

Send an approved template to patients you have tagged, such as a six-month cleaning reminder or a holiday-closure notice. Patients who reply STOP are never messaged again.

WhatsApp chatbot for clinics: FAQs

Will the chatbot give medical advice?

No. Questions about symptoms, medicines, dosage or a diagnosis go to a person by a hard rule that runs before the AI is asked. The assistant only answers practical questions - fees, timings, location, services - from documents you upload.

Can patients book appointments through it?

Not automatically. The chatbot collects the request, tags it and assigns it to reception, who confirm the slot in the same chat. There is no calendar sync yet.

Is patient data kept safe?

Each clinic’s data is isolated from every other business, WhatsApp access tokens are encrypted with AES-256-GCM, and conversations are never used to train an AI model.

Can several receptionists share one WhatsApp number?

Yes. Everyone works from a shared inbox on the clinic’s number, with assignment, internal notes and quick replies. The Starter plan includes 3 seats.

Try it on your own documents.
